Your privacy matters to us. This page explains what information we collect, why we collect it, and how it's handled.

1. Overview

Mr.V Plus ("we," "us," or "our") operates a Volvo specialist automotive repair shop in Calgary, Alberta, and operates the website mrv.plus.

We collect a limited amount of personal information through this website primarily for the purpose of receiving, scheduling, confirming, managing, and following up on appointment requests.

We handle personal information in accordance with Alberta's Personal Information Protection Act (PIPA) and other applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) where applicable.

By submitting an appointment request through our website, you consent to the collection, use, and disclosure of the information you provide for the purposes described in this Privacy Policy.

2. Information We Collect

When you submit an appointment request through our website, we may collect:

  • Contact information: your full name, email address, and phone number.
  • Vehicle information: your vehicle's year, make, and model.
  • Appointment information: your preferred service date, preferred time, type of service requested, and any additional notes you choose to provide.
  • Technical and security information: your IP address and basic request information may be temporarily processed by our website infrastructure for security, rate-limiting, spam prevention, troubleshooting, and abuse prevention.

We do not collect payment card information, financial account information, government-issued identification, VIN numbers, or licence plate numbers through the website appointment form.

Please avoid including sensitive personal information in the additional notes field.

3. How We Use Your Information

Information collected through the website is used only as reasonably necessary to:

  • Receive and process appointment requests;
  • Schedule, confirm, change, or manage appointments;
  • Contact you regarding an appointment request or upcoming appointment;
  • Follow up with you regarding an appointment or service request;
  • Respond to questions or information you submit through the booking process;
  • Operate and administer the website appointment system;
  • Troubleshoot technical issues; and
  • Detect and prevent spam, fraudulent submissions, misuse, or other security issues.

We do not sell, rent, or trade personal information collected through the website.

We do not use appointment information collected through the website for advertising, behavioural profiling, or unrelated marketing purposes.

4. Website Appointment Records and Service Records

The website appointment database is not our vehicle maintenance or repair history system and is not intended to serve as a permanent service record for your vehicle.

Records created when you actually receive service from Mr.V Plus — including repairs, invoices, maintenance history, and warranty work — are maintained separately through our shop's business systems.

This Privacy Policy specifically describes information collected through mrv.plus and does not describe our separate shop record-keeping systems.

5. Retention

We retain appointment information submitted through the website for approximately 2 years following the requested appointment date, after which it is deleted from the appointment system.

We may retain information for a longer period where reasonably necessary to comply with a legal obligation, resolve a dispute, investigate a security incident, or enforce our agreements.

Retention of website appointment information is separate from the retention of shop business records described in Section 4.

6. Service Providers

We use a limited number of third-party technology providers to operate the website and appointment system.

Vercel

Vercel provides website hosting, application infrastructure, and related technical services for mrv.plus.

Information and technical request data may be processed through Vercel as necessary to deliver the website, process appointment requests, maintain security, and operate website functionality.

Supabase

Supabase provides the database infrastructure used to store appointment requests submitted through the website.

Appointment information such as your name, contact information, vehicle information, requested appointment details, and notes may be stored and processed through Supabase.

Resend

Resend provides transactional email delivery.

When you submit an appointment request, information necessary to send appointment-related emails may be processed through Resend. This may include your name, email address, appointment information, vehicle information, and other details needed to send confirmations or notify Mr.V Plus staff of the request.

These providers process information on our behalf to provide their respective services. They may also use authorized subprocessors as part of their infrastructure.

We may also disclose personal information where reasonably necessary to comply with applicable law, a court order, legal process, or to protect the rights, security, property, or safety of Mr.V Plus, our customers, or others.

7. Processing Outside Canada

Some of the technology providers and subprocessors we use may process personal information outside Canada, including in the United States.

This may include processing necessary for:

  • Website hosting and delivery;
  • Database infrastructure;
  • Transactional email delivery;
  • Website and network security;
  • Technical monitoring;
  • Spam and abuse prevention; and
  • Infrastructure support.

Our primary appointment database is hosted through Supabase in the region configured for our Supabase project. However, Supabase, Vercel, Resend, and their authorized subprocessors may perform certain processing in other jurisdictions as necessary to provide their services.

Personal information processed outside Canada may be subject to the laws of the jurisdiction in which it is processed and may be accessible to courts, law-enforcement agencies, or other authorities in accordance with those laws.

You may contact us using the information in Section 11 if you would like additional information about our use of service providers outside Canada.

8. Cookies, Analytics, and Technical Information

We use Vercel Web Analytics to understand general website usage, such as page views and overall traffic.

Vercel Web Analytics does not use cookies for analytics and is designed to store anonymized analytics information rather than information intended to directly identify individual visitors.

Like most websites, our hosting and security infrastructure may automatically process technical information associated with a request, such as an IP address, request time, requested page, or similar network information where necessary to deliver the website, troubleshoot problems, prevent abuse, or maintain security.

9. Spam and Abuse Prevention

To help keep our appointment system reliable, we use anti-spam and abuse-prevention measures.

These may include:

  • A hidden "honeypot" form field intended to identify automated submissions;
  • Temporary IP-based rate limiting;
  • Request validation; and
  • Other reasonable technical security measures.

Technical information processed for these purposes is used only for website security and abuse prevention.

10. Your Privacy Rights and Choices

Subject to applicable law, you may contact us to:

  • Ask whether we hold personal information about you through the website appointment system;
  • Request access to personal information we hold about you;
  • Ask us to correct inaccurate or incomplete personal information;
  • Request deletion of personal information that is no longer reasonably required, subject to legal, security, technical, or operational requirements; and
  • Withdraw your consent to certain uses of your personal information, subject to applicable legal or contractual restrictions and reasonable notice.

Withdrawing consent may limit our ability to process, confirm, manage, or follow up on an appointment request.

We may need to verify your identity before providing access to, correcting, or deleting personal information.

Response times. We will respond to written requests for access to or correction of personal information within 45 days of receiving the request, as required under PIPA, unless an extension is permitted by law.

If you are not satisfied with our response. You may make a complaint to the Office of the Information and Privacy Commissioner of Alberta, which oversees compliance with PIPA. Contact information is available at oipc.ab.ca.

12. Security

We use reasonable administrative and technical safeguards intended to protect personal information submitted through the website against unauthorized access, use, disclosure, modification, or loss.

Access to appointment information is limited to authorized persons who require access to operate or manage the appointment system.

No method of electronic transmission or storage can be guaranteed to be completely secure, but we take reasonable measures appropriate to the nature of the information we collect.

Breach notification. If a breach involving personal information occurs and there is a real risk of significant harm to affected individuals, we will report the breach to the Office of the Information and Privacy Commissioner of Alberta and notify affected individuals as required under PIPA.

We may update this Privacy Policy from time to time to reflect changes to our website, appointment system, technology providers, business practices, or legal requirements.

The current version will be posted on this page and the "Last updated" date at the top will be revised when changes are made.
